What this job involves A multi-disciplinary Event Assistant supporting the events team, delivering day-to-day support to ensure the smooth running of events services and providing exceptional customer experience. You'll work collaboratively with the Client events team and Facilities team to successfully support all events, perform event room setups, coordinate with external contractors, and conduct quality audits of event spaces. This role requires working across the as part of a multiservice team supporting Events, Mailroom, Facilities and Moves, Adds and Changes (MAC) where needed. Your day-to-day tasks will include: Working with the Client events team to ensure all events are successfully supported relating to Facilities as well as supporting the day-to-day running of the office Performing conference and event room furniture set-ups for meetings and events, and regularly working with external contractors such as cleaning, production crews and event hosts Assisting with the coordination and booking for internal events and carrying out daily quality audits of all event spaces, furniture and equipment Acting collaboratively with event hosts before, during and after events to solve problems and resolve spontaneous and unique situations Working with the Facilities team to ensure preventative and reactive tasks are completed within the Service Level Agreement (SLA) timeframe Giving appropriate and timely follow-ups to colleagues and customers in emails, task systems, social posts and face to face Working in accordance with health and safety measures and promoting best practice amongst colleagues, contractors and vendors Required Qualifications: High School Diploma or GED equivalent Flexible scheduling for early morning and evening event support; weekend support as event schedules require 1-3 years of experience in event planning, project management, hospitality, or related field. Direct experience or strong interest in facilities management and customer service Familiarity with computer equipment and programs (Word, Excel and Outlook) Good communication skills with ability to interact professionally with colleagues, contractors and customers Ability to work collaboratively as part of a team to solve problems with professionalism and service focused approach Ability to multi-task in a fast-paced environment. Be flexible to work according to the events requirements including evenings and weekends Preferred Qualifications: Bachelor's degree Proficiency in Google Suites Experience keeping up to date with industry trends in facilities management Adaptability to work on requests and projects that may vary from day to day Previous experience working in event coordination or facilities support roles This position does not provide visa sponsorship. Candidates must be authorized to work in the United States without sponsorship. Expected compensation for this position: 49,600.00 – 62,000.00 USD per year Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
